Who pays, and who doesn't
Only the person running the project needs a plan. If you create a project, upload drawings, and manage the review, you need a Xenmark plan — Free, Plus or Pro. Everyone you invite reviews for free. There is nothing for them to buy and no per-seat fee.
That applies to both invited roles. Editors can upload drawings, add comments, reply, and change statuses. Participants can read the drawings, reply to comments, and export the deliverables. Neither needs a paid plan.
Being invited to someone else's project costs you nothing and limits you to nothing. If you are a Participant on a colleague's project today and want to run your own review tomorrow, sign up on the Free plan and start one — as Project Manager, on your own account, with your own drawings. You can take part in any number of other people's reviews and still run your own alongside them.
What counts toward your limits
Your plan limits how many projects are active at once — not how many reviews you can run over time. A finished review does not sit in a slot forever.
- Projects shared with you don't count. Only projects you create count toward your own limit.
- Closing a project frees its slot straight away. Finish the review, close the project, and the slot is available for the next one. There is no cap on how many reviews you run in total.
- Closed projects move to a read-only archive for a period set by your plan. Before that window ends you can download the full archive bundle — a zip containing every revision deliverable, the comment attachments, and the activity log. Keep that bundle in your own document system: it is the permanent record, and Xenmark is not built to be one.
- Drawings, revisions, and members are counted per project, not across your account. Each project you own gets the full allowance shown on your plan.
- Everyone can export. PDF and Excel export is available on every plan and to every role, Participants included.
When to upgrade
Start on Free. It runs a complete review end to end — first comment to final export — with no time limit and no card.
Move to Plus when you run reviews regularly rather than occasionally: more concurrent projects, larger PDFs, and exports carrying your own logo instead of Xenmark's.
Move to Pro when reviews are continuous across a portfolio: the highest project and member capacity, the largest attachment storage, and the longest archive retention while subscribed.
In every case, upgrade because you need more projects open at the same time — not because you have run a lot of reviews. If your work is sequential, closing each project as it finishes keeps you on a smaller plan indefinitely.
What a reviewer place costs
Most drawing-review tools charge per seat, so every extra reviewer raises the bill. Xenmark charges the project owner and nobody else.
A reviewer place is one person on one project. The figures below assume you use the capacity your plan includes.

Bring fewer people and the cost per place is higher; bring the full complement and it is what the table says. Either way, the people you invite are never billed and never need a plan of their own.
